Week 13

It's the week of the event, oh boy. I wrapped up the Lumina contract and sydney will present on that tomorrow. I've also secured equipment for the videographers and we have a good plan for that. I am completing a schedule for the walkie talkies and will present it tomorrow in class. I have collected the names of all staff members who will require a special pass to park in the m lot of the day of and will get those from Ken Kaiser either tomorrow or wednesday. I still need to print indoor directional signs and add the arrows in sharpie, as well as put together the outdoor parking signs, both of which i will do tomorrow afternoon. other than that, we're just gonna make sure video race is ready to roll and in good shape for their presentation tomorrow and then just try to survive until the day of the event.

Week 12

Finally zeroing in on the Lumina contract. Today i met with Justin Edwards with the Campus Life office and went over the whole schedule again to get it all checked off by him. I also finalized some more info that Sandra needed for the contract and I believe the next step is getting the final prices and getting that signed off by Sandra. I cannot wait for this to be done. I also fixed some things wrong with the screeners and and got that and the presentations to Dustin for screen testing. I have acquired the materials necessary to build the parking signs and I'm gonna double check that the marketing and art departments are including directional signs on their things for the easels, if not i will create that material. I am finalizing the equipment list for the camera crews inside of Lumina and submitting that tonight. After that, I think i'm gonna curl into a tiny ball and cry. The event is next weekend! getting excited! And terrified! And sleepy! But mostly excited i guess.

Week 11

This week has been the beginning of the stressful part of Visions for me, haha. I had been having trouble collecting the final few screener files and powerpoint presentations from the filmmakers and scholars, so i had to get a little bit impatient with them. after a couple terse emails i finally got the last few in. now i'm editing them together into one film file per film block to make it easier on the projectionists. I'm already mostly done with that, i'm just tweaking sound levels and exporting for the tech walkthroughs tomorrow. also, i've taken the powerpoint and combined them into one long presentation with black slides in between, so that only one presentation needs to be queued up. As for the videography inside of Lumina, I've got an overhead with the plans ready and I've begun to collect specifically selected volunteers to run the cameras. aside from that I've been working on the Lumina contract, which should be completed this week. i received the most recent draft from Sandra and filled in some info that needed updating, now i'm just waiting for ACE to approve it so we can sign it and finally be through with that. I've begun to collect things we may need on the day of the event, like extra sd cards for cameras and chargers for their batteries. this week will be full of class presentations and meetings, but i think we're moving along alright.

Week 10

I’ll fill in a little of what went on over the past couple weeks I missed the post for. I’ve been working with Sandra Jackson and my Lumina Tech person Sydney Burton to complete the Lumina/Sharky’s contract, which should be very near completion. There has been a slight delay on her end, but Sandra has told me that she will complete it first thing tomorrow morning, and I hope this will be by class time so I can pass along the news there. Parking has been secured for the day of the event, and I’ve submitted an art request for a map to place on the website. Screener collection is going well, I have about 6 left to collect. As for videography in Lumina, I have recruited the help of my DP friend, Robby Poisella, and I will meet with him shortly to decide on our plans for equipment, angles and camera locations, and filling up a crew to do the actual videography. This coming week I will focus on finishing off the lumina contract, collecting the final few films and presentations, and then ironing out the particulars of the videography in Lumina. Overall, I feel confident about my progress and the progress of my teams.

Week 7

There were finally no more films to watch this week, that was pretty nice. It feels good to have the program pretty much locked in, like the festival is more of a real thing now. As soon as Shannon finishes her travel arrangement stuff I will begin to collect the files from all the winners, having Sydney help me out with that over spring break while I’m out of the country. Sandra has yet to respond to us with the revised agreement. I have asked Sydney to mention something to her about it at work this week, and if that doesn’t yield results I’ll just book another meeting with her. The second parking email also got no results, so I’m going to copy the parking request form from last time and just submit it, it should still work just fine. I’m glad to have the volunteer thing off of my plate, and Daryl will do a great job at that. I’m sending her a spreadsheet I made for the directors to request volunteers so she can tweak it and present on it at her next presentation. All in all, everything is progressing right on time, though it would be nice if all these folks would reply to me before spring break.

Week 6

This week, film wise, I’ve just been reviewing a few films that I couldn’t remember and preparing myself to do battle for Leeroy’s Lobster Shack, I love that guy. As far as the Lumina contract goes, Sandra Jackson had said that she would email me a revised version of the agreement so that I could bring it to the director’s meeting and make further adjustments ahead of our next meeting. So far, this email has not arrived, though I am aware through some Ace backchannels that Sandra has been a bit busy this past week. She’s been super helpful so far, so I’m gonna give it another day or two and then send something to remind her. On the other parts of my job, I am creating a spreadsheet for the other departments to ask for volunteers, and this will help me get the ball rolling on collecting those lil minions. After that I’ll be creating a google form for volunteer signups to send to marketing for distribution. Also, I sent a parking email that wasn’t answered, but I hear there’s been some staffing mixups so I’ll send that again soon. Parking is typically really simple, so that should be resolved quickly.

Week 5

The films were kinda crazy again this week. I’m not sure if this is just the rose tinted view of good memories, but it seems to me that submissions were of a higher caliber last year. Oh well, there are still several good films and we’ll have enough to choose from to make a good program. This week I’ve been focusing on the Lumina contract. I had my first sit down with Sandra Jackson, the head of Ace, and my lumina tech person Sydney. We went over the old contract, got up to speed on some price changes, and I informed them of a schedule change. Sandra told me that she would update the contract with what we had discussed, and then send it to me for me to revise to perfection. So that is the next thing I’m waiting on. We’ve already had a slight change in schedule and added a room to the contract this week. By next weeks class I should have parking all worked out, that never takes very long. I have approached several people about specialized volunteer positions, and I will soon have a google sheet to keep track of volunteers and a form for marketing to send out over social media to gather more volunteers. In my next presentation, I will have everyone consider the number of volunteers they will need and when they will need them. I will most likely make a spreadsheet with the times, specific event, and each department on it so that they can just add numbers to this document so I will know how many volunteers to schedule. The end.
